The situation

A small hospitality business was managing rooms, dates, bookings, clients, services, and prices in a shared spreadsheet.

The setup worked for a while because the team knew where to look, what the colors meant, who to ask, and which parts were safe to edit.

Over time, however, the spreadsheet became part of the daily operation. Several people were editing important business data, while the owners needed a clearer view of bookings, prices, services, and changes.

Where the complexity lived

Most of the complexity came from everyday operational reality.

Rooms were represented as rows and dates as columns. Some context was stored in the spreadsheet, some lived in people’s memory, and some existed only in habits built up over time.

Questions that should have been simple became difficult to answer:

  • Who changed this price?
  • Who added this booking?
  • Which services belong to this client?
  • Which version of the information can we trust?

What I worked on

I built a custom internal admin system for clients, rooms, bookings, services, prices, and change history.

Important actions became easier to trace, including who added a booking, changed a price, or created a service.

The workflow was tested and accepted by the client. The remaining challenge was helping the team move from familiar spreadsheet habits into the new system.

Why this matters

The work was not only about replacing a spreadsheet.

It was about turning a familiar but fragile process into something more structured, visible, and accountable, while recognizing that changing people’s habits was part of the project too.
